25 Invoices/Month on Net 30: What Each Tool Does

A plumber sends 25 invoices per month. Five clients regularly pay after day 30. Two of those clients work on job sites and rarely check email.

QuickBooks Online fires 3 email reminders by roughly day 14. QuickBooks sends no further automated reminders after the third. The plumber writes 5 manual emails at day 30. SMS Channel: Open Rates and Which Tools Support It

Nudge's published data reports a 95-98% SMS open rate with an average response time under 3 minutes, versus 20-25% for email with a 6-24 hour response window. Both figures are from Nudge's blog, so weigh them as vendor claims.

SMS support: Nudge (included in both plans) and Paidnice ($0.10 per message in the US). QuickBooks Online, FreshBooks, and Zoho Books are email-only.

Nudge's default schedule places the first three reminders (day -7, -3, -1) via email, which carries full invoice context. Invoices Overdue by 20-35 Days

QuickBooks Online's 3 reminders cover roughly two weeks. A client who pays on day 25 received the last automated email 10 days earlier. Reminders are email-only, sent only for invoices already emailed, and the template and timing apply to all customers identically.

FreshBooks also caps at 3 reminders but lets you send additional manual reminders from within the invoice with one click after the automated sequence ends. FreshBooks reminders are configurable per client or per invoice, and go to whoever the invoice was sent to, including secondary contacts.

Nudge's default schedule places automated reminders at day +14 and day +30, covering this window without manual intervention. The tone by day +30 names the overdue amount directly.

Zoho Books can place reminders anywhere across its 30 configurable steps, covering day 20-35 with multiple automated email touchpoints. Both automatic and manual modes are supported.

Invoices Overdue by 60+ Days

A QuickBooks user with a $3,000 invoice at day 61 has had no automated touchpoint since roughly day 14, a 47-day gap. FreshBooks has the same gap, though manual one-click reminders are available from within the invoice.

Nudge's day +60 message states the outstanding balance plainly and requests immediate payment. The day +30 and day +60 messages are the last two of nine automated steps.

Zoho Books, with up to 30 steps configurable by days after due date, can still be sending automatic email reminders at day 60 and beyond. The platform also notifies the business owner alongside the customer when reminders fire.

Paidnice's automated interest charges apply at this stage. A $2,000 invoice at 30 days past due with a 1.5%/month interest charge generates $30 in automated fees. At 60 days, that doubles to $60.

Per-Client Control

Nudge supports per-customer reminder scheduling, which means you can set different reminder rules for different customers, or exclude someone entirely. The scheduling applies at the customer level, so all invoices for that customer follow the same cadence.

FreshBooks lets you configure reminders per client and also per individual invoice. Zoho Books supports both automatic and manual modes per invoice. Paidnice supports per-client configuration.

QuickBooks applies the same reminder template and timing to all customers.

Late Fee Enforcement

FreshBooks can automatically charge overdue clients a percentage of invoice value, percentage of outstanding balance, or a flat fee. If your contracts include a late payment fee, FreshBooks enforces it automatically.

Paidnice adds interest charges and prompt payment discounts alongside late fees, plus automated statements. It integrates with Xero, QuickBooks Online, and Stripe.

Nudge, QuickBooks, and Zoho Books do not automate late fee collection. A late payment policy still applies, but enforcement is manual.
