Cheap Invoice Reminder Software: What $9.99/Mo Buys

Nudgepay's $9.99/month plan: SMS reminders, 9-step schedule, QuickBooks sync. Price and feature comparisons vs. Zoho, Wave, Invoice Ninja, Paidnice, and Chaser.

Cheap Invoice Reminder Software

Sending an invoice takes thirty seconds. Chasing the payment takes three weeks. You send a polite email. No response. You send another, a little less polite. Still nothing. By the third follow-up you are wondering whether the client is ignoring you or your messages are landing in spam. The invoice software that created the bill does not solve this part. It was never designed to.

Most freelancers and small contractors do not need another invoice builder. They already have one. What they need is something that handles the follow-up without them having to remember, draft, and send every nudge themselves. That is what $9.99 a month buys: an automated reminder system that keeps chasing until the invoice is marked paid, using SMS and email on a schedule that escalates from friendly to firm.

Invoicing is not the same as getting paid

Invoice software creates a bill and sends it. Reminder software picks up where the invoice software stops. The distinction matters because most free tools handle the first job fine and the second one barely at all.

Zoho Invoice is free invoicing software for small businesses and includes basic payment reminders in its free plan. With its free plan, you can configure automated payment reminder workflows that run on a set schedule and go out by email.

Wave's Starter plan gives you unlimited invoices and estimates at no cost. To get automated late payment reminders, you need Wave's Pro Plan at $19 per month. Even then, the reminder sequence is three steps: 3, 7, and 14 days past due, email only. No pre-due heads-up, no SMS, no escalation past two weeks.

Invoice Ninja's free plan caps you at 5 clients and does not include auto-reminder emails. Auto-reminders unlock at the Pro tier, which costs $14 per month and covers email only.

All of these tools are built around invoice creation. The reminder feature is an afterthought bolted onto the billing engine. That works if you send three invoices a month and your clients always pay on time. It fails the moment a client goes quiet and you have to decide how many follow-ups is too many.

Nine reminders, one schedule

Nudgepay runs a 9-step reminder sequence tied to each invoice's due date. It starts before the bill is even due and keeps going until 60 days past due, with each step shifting in tone from friendly to urgent.

The schedule is fixed: 7 days before due, 3 days before due, 1 day before due, on the due date, then 3, 7, 14, 30, and 60 days overdue. The early reminders read like a courteous heads-up. By step 8, the message is a final warning. By step 9, it is a last notice.

You do not write these messages. They fire automatically every morning at 9 AM Eastern. You can toggle any individual step off per invoice: disable the 60-day step for a client you know will pay late but always pays, or skip the pre-due reminders for a rush job that is already overdue when you enter it. The sequence adapts per invoice, not just per account.

Each reminder includes a link the customer can click to mark the invoice as paid. When they click it, all future reminders for that invoice stop. No back-and-forth needed to confirm receipt.

SMS lands where email does not

The difference between email and SMS reminders is not subtle. Email sits in an inbox with a hundred other unread messages. SMS appears on a lock screen.

Nudgepay's $9.99 Basic plan sends both SMS and email reminders on the same 9-step schedule with up to 200 SMS messages per month. Every text includes your business name and a STOP opt-out link.

For a contractor waiting on payment from a busy client who checks email once a week but glances at their phone fifty times a day, SMS is the difference between getting paid Friday and getting paid three weeks later.

Every reminder also carries a customer self-mark-paid link. The client taps it, confirms payment, and the sequence stops. You do not get a "did you send that?" text. You do not send a redundant follow-up to someone who already paid. The system closes the loop without you.

What the $9.99 plan actually covers

The Basic plan at $9.99 per month includes the full feature set with two limits: 100 customers and 200 SMS messages per month. Unlimited invoices. The 9-step reminder schedule. Email and SMS reminders. QuickBooks Online sync. Standalone mode for contractors who do not use accounting software. An Android app. Customizable message templates. Per-customer scheduling.

Connect your QuickBooks account and Nudgepay imports your open invoices and customers in one step. It syncs daily to pick up new invoices and automatically stops reminders when a balance hits zero in QuickBooks. Nudge reads your data. It never writes back or modifies your books.

No QuickBooks? Add customers and invoices directly in the app. Enter the client name, amount, due date, and reminder channel. Reminders start firing on the schedule. This works for contractors who invoice by hand, use PDF templates, or just need a follow-up system that runs without accounting software.

The limits are real and worth knowing upfront. 100 customers means a small contractor or service business with a fixed roster. 200 SMS means roughly 22 invoices getting the full 9-step treatment by text each month, or more if you spread SMS across fewer steps per invoice. Email reminders have no cap. If you hit the SMS limit, reminders continue by email only for the rest of the billing period.

What reminder automation costs everywhere else

The market splits into two tiers: free invoice builders with basic reminder features, and dedicated A/R platforms priced for finance teams. Here is what automated reminders actually cost across the options:

Tool Plan Monthly Price Reminder Channels Auto Sequence
Zoho Invoice Free $0 Email only Manual/semi-automated
Wave Starter $0 None (no auto reminders) None
Invoice Ninja Free $0 None (no auto reminders) None
Invoice Ninja Pro $14 Email only Configurable, email only
Paidnice Essentials $69 Email + SMS Yes, with statements and late fees
Chaser Compact $259 Email + SMS + Auto-call Unlimited custom schedules
Nudgepay Basic $9.99 Email + SMS 9-step, escalating, per-invoice

Paidnice Essentials at $69 per month covers up to 150 invoices and 600 emails with 2 team members, including email and SMS reminders, automated statements, late fees, a customer payment portal, and integrations with Xero, QuickBooks Online, and Stripe. Chaser's Compact plan starts at $259 per month with email, SMS, and auto-call multi-channel chasing, unlimited custom schedules, and cash flow forecasting.

The gap is the story. Free tools give you invoice creation with manual follow-up. The mid-tier adds email-only auto-reminders at $14 to $19 per month. Full A/R platforms with SMS start at $69 and run past $250. The $9.99 price point with SMS, a 9-step schedule, and QuickBooks sync sits in a space none of the other tools occupy.

When the Pro plan makes sense

Nudgepay's Pro plan at $19.99 per month removes the 100-customer cap and raises the SMS allowance. It adds priority support.

The upgrade math is straightforward. If you have more than 100 active clients, you need Pro. If you send more than 200 SMS per month, you need Pro. If you want to write your own reminder copy for each step of the schedule instead of using the defaults, you need Pro.

For a solo contractor with 40 recurring clients who sends 80 SMS a month, Basic covers everything.

Who this plan fits

The Basic plan works for a specific profile: a contractor, freelancer, or service business owner who sends invoices regularly, has fewer than 100 active customers, and wants the follow-up to run without manual effort. Someone who has already learned that building the invoice is not the bottleneck. Getting the client to act on it is.

It does not fit a business that needs full accounts receivable automation with statements, credit control, and cash flow forecasting. Those features live in the $69 to $259 per month tier. It does not fit a business with 500 customers or one that sends thousands of SMS per month.

What it does fit is the most common situation: invoices going out, payments coming in late, and a solo operator who would rather spend mornings doing billable work than drafting "just checking in" emails that get ignored. For $9.99 a month, the follow-up runs itself. That is the whole proposition.
